What is Annexure?
An annexure is a form, format or declaration attached to a tender document that bidders must fill in, sign and submit as part of their bid.
What is an annexure?
An annexure is a document attached to the main tender document. In most tenders, annexures are the prescribed formats the bidder has to complete: forms, declarations, undertakings and schedules that the buyer wants in a fixed layout.
Some tenders call them appendices, schedules, forms or proformas. The name matters less than the instruction: if the tender says a format must be used, use that format and not your own.
Common annexures in a tender
The exact set differs from tender to tender, so build your checklist from the document in hand.
- Bid submission or covering letter on the bidder’s letterhead
- Bidder details, such as registration, GST and PAN information
- Declarations, for example that the bidder is not blacklisted, or a Bid Security Declaration
- Experience and turnover statements, often with supporting certificates
- Compliance or deviation statements, and price breakup formats where asked for
Tips for bidders
Fill every annexure the tender lists, even if a field does not apply to you; write “Not applicable” rather than leaving it blank. Keep the buyer’s wording; editing a declaration can make it non-compliant.
Check signatures, seals, dates and the tender number on each page. A missing or wrongly filled annexure is one of the most common reasons for clarification requests or rejection.
Common questions
Common questions about Annexure in government tenders.
In practice the terms are used loosely and often mean the same thing. Follow the numbering and names the tender itself uses.
Usually not when a format is prescribed. Buyers may treat a changed format as a deviation, so copy the tender’s format exactly.
It depends on the tender and the annexure. Some buyers may ask for it as a clarification, but a missing essential document can lead to rejection.
