QuickBid Systems Private Limited ("QuickBid", "we", "us") operates the QuickBid website and platform. We process personal information in accordance with applicable Indian law, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023.
Information we collect
- Contact details you share with us — such as your name, business email, phone number and company name — when you book a demo, contact us or create an account.
- Account and profile information, including your role, company profile, eligibility documents and user preferences.
- Content you upload to the platform, such as tender documents, bid documents, drawings and templates.
- Usage and technical information, such as log data, device and browser type, and how you use the platform, to keep the Services secure and working.
- Billing information needed to manage paid plans.
How we use information
- To provide, operate and support the Services you use.
- To respond to enquiries, schedule demos and communicate with you about your account.
- To secure the Services, prevent fraud and investigate misuse.
- To improve and develop our products, using aggregated or de-identified information where possible.
- To meet legal, tax and regulatory obligations.
We do not sell your personal information, and we do not use the documents you upload to serve advertising.
Data security
We protect information with industry-standard safeguards, including AES-256 encryption, access controls and monitoring. Customers who need full control over where their data lives can choose a dedicated installation in their own data centre or cloud. No system is completely secure, but we work continuously to protect your information.
Data retention
We keep personal information for as long as your account is active or as needed to provide the Services, and afterwards only as long as required for legal, tax or legitimate business purposes. When information is no longer needed, we delete or anonymise it.
Your rights
Subject to applicable law, you can:
- Access a summary of the personal information we hold about you.
- Ask us to correct, complete or update inaccurate information.
- Ask us to erase information we no longer need, or withdraw consent where processing is based on consent.
- Nominate another person to exercise your rights in the event of death or incapacity.
- Raise a grievance with us, and escalate it to the Data Protection Board of India if it is not resolved.

Children
The Services are intended for businesses and are not directed at children. We do not knowingly collect personal information from anyone under 18.

We may update this policy from time to time. We will update the date above and, for material changes, notify you by email or in the platform.
